How to Buy Used Cars from the Netherlands as a B2B Partner

This page explains, step by step, how a professional dealer or exporter buys used cars from the Netherlands through Kapitan B2B. The order of the steps matters: each one unlocks the next. You first become an approved B2B partner, then get your company documents approved, and only then can a proforma invoice be issued for a specific vehicle. A purchase request is not a reservation. Payment is by bank transfer, and a vehicle is released only after payment is confirmed and visible on our account. Read the steps below before you start, so the process runs without delays.

Step 1 — Request an approved B2B account

Start by requesting an approved B2B account. We review your company before granting access. This first step confirms that you are a business buyer — a dealer, exporter or reseller — and not a private buyer. Once your account is approved, you can log in and see more vehicle detail than public visitors. An approved account alone, however, does not let you request a proforma invoice yet. That requires the next step. Keep your company contact details accurate, because we use them throughout the purchase and export process.

Step 2 — Upload required company documents

After your account is approved, upload the required company documents. These are reviewed separately from account approval. Documents typically include company registration details and a valid VAT number. Document approval is its own step because logging in is not enough to start a purchase. Only after your documents are approved can we issue a proforma invoice for a specific vehicle. If a document is missing or unclear, the review pauses until it is provided. Preparing complete documents early is the fastest way to reach the buying stage.

Step 3 — Send a purchase request

When you have found a vehicle, send a purchase request. This tells us you want that specific vehicle. A purchase request is not a reservation: it does not hold the vehicle, and availability can change at any time. We confirm requests manually. If your documents are approved and the vehicle is still available, we move forward. If it is already gone, we will tell you and you can choose another. This step keeps the process clear and avoids assumptions about availability.

Step 4 — Proforma invoice and bank transfer

Once your documents are approved and the purchase request is confirmed, we issue a proforma invoice for the vehicle. Payment is made by bank transfer. International transfers can take several working days, so plan ahead. After paying, you send payment confirmation. We treat this as proof, but it is valid only after our review and approval. The vehicle is not released on the strength of a transfer slip alone — it is released once the payment is visible on our account.

Step 5 — Release, export documents and transport

When payment is visible on our account, the vehicle is released to you. Export documentation can be discussed per vehicle and pickup, including EX-A and EUR.1 where applicable and on request. Transport is arranged in consultation. From this point the vehicle and its paperwork move toward export to your market. Keeping your exporter and transport details ready in advance helps this final stage run smoothly.
